How to Set Up Year-Round Accounting Workflows: A Step-by-Step Guide

Quick answer: To set up year-round accounting workflows: (1) list every recurring service and how often it happens, (2) build one standard workflow template per service, (3) set due dates relative to each client's year-end or period-end rather than fixed calendar dates, (4) schedule a full year of recurring work in advance, (5) automate hand-offs between steps, and (6) review and improve the templates after each cycle.

Many firms run on a feast-or-famine calendar: overloaded from February to April, then scrambling to find work in the summer. Year-round workflows fix that. They spread work across the year, make recurring engagements predictable and give your team a repeatable process instead of a yearly rebuild.

What is a year-round accounting workflow?

A year-round workflow is a standard, repeatable set of tasks for each recurring service your firm offers, such as monthly bookkeeping, quarterly filings, year-end financial statements or annual tax returns. Each one is scheduled across the whole year based on when the work is actually due.

The goal is to spread work evenly across the year so that tax season isn't the only time your firm is busy.

Step 1: Inventory your recurring services

List every service you deliver more than once, how often it recurs and what triggers it:

Most firms find that most of their work doesn't depend on tax season at all. It only feels that way because nobody has scheduled it.

Step 2: Build one workflow template per service

For each service, write down the standard steps once: who does each step, in what order and how long it usually takes. A simple year-end compilation might look like this:

  1. Send engagement letter / document request
  2. Receive client documents
  3. Prepare working papers
  4. Review
  5. Partner sign-off
  6. Deliver to client and bill

Keep templates simple at first. Five to eight steps you actually follow are better than twenty you skip.

Step 3: Tie due dates to each client's year-end or period-end

Fixed calendar dates don't work for clients with different fiscal year-ends. Set due dates relative to the client instead, for example "financial statements due 3 months after year-end" or "request documents 30 days after year-end."

This is also the most effective way to spread work across the year. Clients with March, June and September year-ends create work in quarters that would otherwise be quiet.

The client year-end is also a true date field in merge letters and templates, so reminder dates (such as "documents due 30 days after year-end") calculate automatically instead of being typed in by hand.

Step 4: Schedule the full year in advance

Once templates and due-date rules are in place, create the whole year's recurring work at the start of the year (or at each client's year-end). You'll see peaks months ahead and can plan staffing around them.

Step 5: Automate hand-offs between steps

Much of the time lost in a workflow happens between steps: a preparer finishes, but the reviewer doesn't know it's ready. Set up workflows so completing one step automatically moves the job to the next person.

Some steps shouldn't start on a date at all. "Review documents" should begin when the documents actually arrive.

In Axis: When a task is marked complete, the next task becomes ready and its assignee is notified automatically. Tasks can also be triggered by an event instead of a date, such as a review task that only activates once the client's documents are received. Document and signature requests go through the client portal, with automatic reminders while they're outstanding.

Step 6: Balance the workload across the year

Step 7: Track time against each workflow

Log time against the job and task, not just the client. After a few cycles you'll know how long each service really takes, which makes pricing, budgeting and scheduling much more accurate.

Step 8: Review and improve after each cycle

After each quarter or engagement season, ask: Which steps were skipped? Which jobs went over budget? Where did work wait the longest? Update the templates so next year's workflow is better than this year's.

Actual dates depend on your jurisdiction and client mix. Use this as a starting pattern, not a filing calendar.

Common mistakes

  • Building templates nobody follows. Start with the steps your team already does.
  • Using fixed dates for everything. Fiscal year-end–based due dates are what spread work across the year.
  • Scheduling one month at a time. You won't see peaks until they arrive.
  • Starting review tasks before documents arrive. Timelines that begin before the documents are in fall apart.
  • Never updating templates. A workflow that isn't reviewed gets out of date.
